Job Summary:

Supports and assists the Vice President for Student Affairs/Dean of Students with general office procedures and duties, correspondence, and facility management. Provides overall support for the Division of Student Affairs

Duties/Responsibilities:

  • Manages the organization and functions related to the EVP/Dean of Student's Office, including answering phone, routing calls, taking messages, and scheduling appointments.
  • Orders office supplies from Central Supply and maintains inventory.
  • Ensures proper functioning of office equipment by coordinating repairs, refilling toner, etc.
  • Acts as Student Affairs Module Manager for Jenzabar EX database.
  • Manually maintains office files and sends all-student e-mails for student affairs division.
  • Monitors and responds to the Dean of Students email account, and DormTV email account.
  • Maintains FSC mailroom by coordinating the sorting and distribution of mail of the Student Affairs Division, and coordinates bulk mailings as needed.
  • Acts as proxy for the EVP's credit card and reconciling monthly statements.
  • Assists EVP with Divisional Budget items, including AP and PO submissions, invoices, and check requests.
  • Coordinates student credit card check outs.
  • Serves as a notary for members of the Drury Community. Processes online submissions of student health forms, vaccination records, and emergency contacts in EX.
  • Annually update the Community Standards Handbook.
  • Maintains accurate Student Affairs listserv and staff directory, manage student holds in EX, process student background checks, run weekly student conduct violations in Maxient.
  • Obtains information for Outstanding Senior Award and coordinates selection process.
  • Coordinates internal room reservations and setups for Findlay Student Center, Freeman Hall Hoblit Room and Rose O'Neill House. Records events on central calendar and distributes this information to faculty, staff, and community regarding availability of these facilities. Coordinates with maintenance and food service for meeting and banquet set-ups. Manages all table reservations and check-outs. Manages check-out process and usage of FSC Ballroom, 204, and Freeman Hall technology.
  • Provides support to the Student Intervention Team. Attends weekly meeting; manages and updates shared data document; process Academic Warning Notices; collects student Exit interviews and documents data; collects data for retention/attrition reports.
  • Provides support to offices and events in Student Affairs Division, including Family Day, Soak up Springfield, Parent Facebook, Greek Life, Housing, First Year Experience, Residence Life, International Students, Student Success, Security and Counseling.
  • Trains and supervises student workers. Approves time sheets and submits for payment.
  • Other duties as may be assigned by the V.P. for Student Affairs/Dean of Students.
Required Skills/Abilities:

To perform this job successfully an individual must be able to perform each essential duty satisfactorily.   • High school diploma or equivalent and education or training in related field and two to four years' experience as support staff to a manager or executive, or an equivalent combination of education and experience.
  • Ability to respond to questions and complaints on the telephone and in person from students, parents, alumni, and the public in a calm and professional manner.
  • Must possess a mastery of clerical and office skills to include proofreading, accurate typing, spelling and grammar, mathematical calculations, message taking, filing and retrieval of documents.
  • Ability to use a telephone, personal computer, Microsoft Office software (specifically Outlook, Word, and Excel), calculator, copiers, printers, fax machines and other general office equipment.
  • Excellent written, oral and interpersonal skills for dealing effectively with diverse constituents.
  • Must possess strong organizational skills in order to meet deadlines, prioritize job tasks, process mailings and facilitate the workflow of the office.
  • Exercises initiative and has the ability to assume responsibility without direct supervision.
  • Uses discretion in order to maintain confidentiality.
  • Ability to apply common sense understanding to carry out detailed or broad written and oral instructions.
  • Ability to exercise good judgment to make decisions and distinguish emergencies from routine situations.
  • Ability to effectively present information in one-on-one situations to faculty, staff, and students.
  • Is currently a notary public or has the ability to become a notary public.
Education and Experience:
  • High school diploma or equivalent education or training in related field
  • Two to four years' experience or an equivalent combination of education and experience
Supervisory Responsibilities:

Directly supervises student staff. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.
